This topic explains the process of archiving and unarchiving a Presentation in Board.

In versions 14.4 and earlier, the Archive/Unarchive options are not available in Presentations.

Archive a Presentation

Archiving a Presentation allows you to temporarily remove it from your main view without deleting it. This action is useful for keeping your workspace organized when certain Presentations are no longer immediately relevant, but you want to retain access to them.

Archiving is a personal and reversible action: only you can see which Presentations you have archived, and this status does not affect how other users view shared Presentations.

A Presentation can be archived from both the main panel and the navigation menu. You can archive any Presentation you own or that has been shared with you by using the Archive action. There are two ways to access the Archive action:

  1. Right-click the Presentation and you will find the "Archive" command available in the context menu.

  2. Select the three-dot icon ( ) in the upper-right corner of the Presentation tile and you will find the "Archive" command.

When you archive a Presentation:

  • It is moved to the Archived group within the Presentations area.

  • It is hidden from other views, such as All Presentations and My Presentations.

  • It loses other user-specific statuses, including Favorites.

  • It remains fully accessible: you can open and view an archived Presentation at any time.

Archiving does not delete or unshare the Presentation. Other users with whom it is shared will continue to see it in their own lists unless they also choose to archive it.

Example Scenario

When you sign in as a Board user and open "Presentations", you can see your Presentations and any shared Presentations that others have made visible to you.

If you are an owner or author of a Presentation, you can use the action label "Delete". When you select "Delete" on a shared Presentation and confirm your selection, the Presentation is removed for every user in the sharing list.

If you are not an owner or author of a Presentation, you can use the "Leave Sharing" feature. This feature removes the Presentation from your list only.

Unarchive a Presentation

If you want to restore an archived Presentation to your main view, you can use the Unarchive action. This action returns the Presentation to the All Presentations view.

There are two ways to access the Unarchive action:

  1. Right-click the Presentation in the Archived group and you will find the "Unarchive" command available in the context menu. However, the "Unarchive" command is only available for Presentations that have previously been archived.

  2. Select the three-dot icon ( ) in the upper-right corner of the Presentation tile and you will find the "Unarchive" command.

When you unarchive a Presentation:

  • It is removed from the Archived group.

  • It becomes visible again in your main Presentation lists.

  • Previous user-defined statuses (such as Favorites) are not restored automatically and must be reapplied manually if needed.

Unarchiving is a personal action. It does not affect other users’ views or the sharing status of the Presentation.
