In versions 14.4 and earlier, the Send To feature is not available in System Administration.
This article describes the Send To section in System Administration, the information that the section provides, and the actions available to Administrators.
The Send To function allows users to send a Board Presentation by email to a list of users on a recurring basis. The Presentation is sent as an email attachment in one of the following formats: PDF, MS Word, MS PowerPoint, or MS Excel.
The Send To section provides a centralized view of existing Send To jobs across the Board Platform.
From the Send To interface, Administrators can review Send To jobs, run them, enable or disable them, and delete them. The Send To section also shows key information about each Send To job, including its name, owner, schedule, last run date, and status.
Send To jobs cannot be created or edited from this section. Users create and edit Send To jobs from the Presentations area. For more information on how to create and edit Send To jobs, see Create a Send To job and Edit a Send To job.
Access requirements
Users must have an appropriate Board Administrator license to view and access the Send To feature. To add this license or learn more about it, contact your Board Customer Success Manager or Key Account Manager.
Send To page overview
To access the Send To section, open the System Administration space of the desired Platform and click on the Send To tile to open the Send To panel.

In the Send To panel, users can see all existing Send To jobs and their main information: the table is sortable and searchable using the interactive header fields.

The table contains the following information:
Name. This column displays the name of the Send To job.
Enabled. This column indicates whether the Send To job is active. This column displays a radio button that, when filled blue, indicates that the Send To job is enabled. When the radio button is not filled blue, the Send To job is disabled. Send To jobs are enabled by default. Users can change the status directly from this column or within the Send To job details, by setting the "Enabled" toggle. A confirmation message, such as "Send To successfully enabled/disabled", appears at the bottom of the page to confirm the job.
Creation date. This column displays the date and time of the creation of the Send To job in the following format: Month Day, Year - HH:MM (i.e. Feb 26, 2026 - 16:07).
Created by. This column displays the email address of the user who created the Send To job.
Status. This column indicates whether the Send To job is ready for execution. This column displays a radio button that, when filled green and accompanied by the status "Ready", indicates that the automatic execution of the Send To job is enabled. If the column is blank, the automatic execution of the Send To job is disabled.
Next run. This column displays the date and time of the next time the Send To job will be executed, in the following format: Month Day, Year - HH:MM (i.e. Apr 29, 2027 - 10:00).
Scheduling. This column displays the execution frequency, such as one time, daily, weekly, or monthly, based on the configured schedule.
Note. This column displays additional information that the user has added to the Send To job . If no additional information was added, the column appears empty.
Last Run (hidden by default). This column displays the date and time of the most recent execution, in the following format: Month Day, Year - HH:MM (i.e. Apr 29, 2027 - 10:00).
File Format (hidden by default). This column displays the format of the generated output.
Administrators can review all configuration details, but they cannot change the setup of a Send To job created by another user. Only the owner can modify the configuration. Administrators can change only the enabled status.
The Send To grid shows the total number of Send To jobs and how many Send To jobs are currently selected. This information appears in the lower-left area of the page and follows the same behavior as other grids in the Board Platform.

Top menu bar
The top bar provides controls to edit, delete, run, enable, and disable Send To jobs.

These actions become available after selecting one or more Send To jobs by using the checkbox next to the Send To job’s name. Some jobs are also available from row-level icons when you hover over a Send To job’s name.

Actions
Edit. The Edit button
appears in the top menu bar. Users can open a Send To job in two ways:By clicking the pencil icon or the Send To job’s name directly.

By right-clicking on a Send To job’s name and selecting "Edit".

The Edit job depends on how many Send To jobs are selected:
Single selection: When one Send To job is selected, Edit Mode opens. For Administrators, the Send To job opens in read-only mode. Administrators can review the Send To job details, but they can only change the Enabled status.
Multiple selection: Multi-editing is not supported. Only one Send To job can be edited at a time. If you try to edit multiple jobs, the Edit button will become unavailable.
To edit a Send To job, users need to access the job from the Presentations area. Editing is unavailable from the Send To area in System Administration. See Edit a Send To job for detailed information about the Edit step.
Delete. The Delete button
appears in the top menu bar and when hovering over a Send To job’s name. It allows deletion of one or multiple jobs.
Run. The Run button
appears in the top menu bar and also when hovering over a Send To job’s name, and it executes the selected jobs sequentially. During execution, a modal window shows the progress of the operation. When execution ends, a confirmation message lists the jobs that were run successfully. Users can run one or multiple jobs.
Enable/Disable. The Enable and Disable jobs allow Administrators to activate or deactivate one or multiple Send To jobs at once. To change the status of a Send To job, click on the radio button in the Enabled column. When the radio button is filled blue, the Send To job is enabled. When the radio button is not filled blue, the Send To job is disabled. A confirmation message appears when the Enable or Disable job is completed successfully.

Additional tools
Column chooser. This tool lets Admins customize the Send To interface by showing, hiding, or reordering columns. Access it from the button in the upper right corner of the Screen to adjust column visibility.

Create a Send To job
Send To jobs are created from the Presentations area, not from the Send To interface in System Administration. The System Administration page provides a centralized view of existing Send To jobs and allows users to view them in Edit Mode, run them, enable or disable them, and delete them. Edit a Send To job
When accessing a Send To job from a Presentation, Edit Mode opens with the job details and editable settings. From this page, users can modify the selected job.
When accessing a Send To job from the Send To interface in System Administration, users can open Edit Mode by clicking on the Send To job’s name or the pencil icon. In this case, Edit Mode is available for review only. Administrators can view the job’s details, but they can only change the Enabled status.
